The role
You’re joining as an Operations Engineer.
Your mission: build the operational and compliance backbone of the company, and contribute to core business services (billing/invoicing) so we scale without bureaucracy.
Baseline expectations (everyone, every role)
Regardless of title, you’re expected to:
- Collaborate closely with customers. You will seek clarity from real users, validate assumptions, and treat customer feedback as a first-class input (not an interruption).
- Write and maintain documentation. If you change the system, you change the docs. We keep the knowledge base (KB) clean, structured, and easy to navigate.
- Be an elite human engineer. High standards of professionalism: reliability, ownership, clear written communication, ethical behavior at work, and zero tolerance for creating unnecessary work for others.
What you’ll do
40% system design and coding, 30% document writing, 10% standard accountancy management, 10% compliance management and 10% customer management.
- Own day-to-day operational workflows: invoices, vendors, contracts, renewals, and record keeping.
- Understand taxes at an operational level (VAT basics, reverse charge, withholding concepts) and coordinate filings with external accountants.
- Build a lightweight compliance system: policies, evidence, risk register, training, and audit readiness.
- Lead ISO 27001 work (scoping, controls, evidence collection, continuous improvement).
- Partner with engineering on GDPR and privacy operations (data requests workflow, retention policy execution).
- Track and operationalize AI Act requirements where applicable (risk classification, transparency, documentation).
- Coordinate legal operations: contract lifecycle management, templates, review process, and escalation paths.
- Automate internal ops: integrate tools, reduce manual steps, create dashboards and alerts for ops KPIs.
- Participate in building and improving core business services (billing APIs, invoicing flows, contract/renewal logic): write specs, validate edge cases, test in staging, and ship automations.
What you won’t do
- You’re not expected to be external legal counsel or replace an accountant; you coordinate and execute.
- You won’t be asked to create bureaucracy for its own sake. Processes must pay rent.
- You won’t be responsible for shipping the entire product roadmap alone (but you will contribute to business-critical services).
What success looks like
In the first 30 days
- Map current operational flows (invoicing, purchasing, contract storage, approvals) and identify breakpoints.
- Ship 3–5 immediate fixes: templates, checklists, an ops calendar, and a single source of truth.
By 90 days
- Implement a working ISO 27001 program skeleton: control ownership, evidence cadence, and internal audits.
- Make invoicing and renewals predictable with automation + reminders + dashboards.
By 180 days
- Be audit-ready by default: evidence collection is continuous and low-effort.
- Reduce operational load per customer by automating repeatable work (billing, contract steps, compliance evidence).

Requirements
You should have most of these:
- Solid fundamentals in accounting/finance operations (invoicing, reconciliation concepts, vendor management).
- Operational understanding of taxation for a SaaS business (especially EU/VAT basics) and comfort working with accountants.
- Practical experience with compliance and security management systems (ISO 27001 strongly preferred).
- Working knowledge of GDPR and privacy operations (not just theory).
- Ability to interpret and operationalize regulations (including the AI Act) into real workflows.
- Strong written communication and documentation habits.
- High-agency execution: you can build systems, not just maintain them.
- Comfort with tooling and automation (APIs, integrations, low-code, scripts) and collaborating with engineers on production systems.

Nice to have
- Experience running an ISMS in a startup context (lean, pragmatic, continuously improving).
- Experience with billing/invoicing systems (subscriptions, proration, refunds, credit notes) and messy edge cases.
- Familiarity with EU invoicing/VAT workflows (VIES checks, reverse charge language, OSS/IOSS concepts where applicable).
- Experience with vendor due diligence and security questionnaires.
- Experience with contract templates and negotiation support.
- Experience with incident response coordination, tabletop exercises, and audit prep.
Tools & stack
- Compliance: ISO 27001 control mapping, evidence systems, risk register, policy management.
- Privacy: GDPR request handling workflows, retention policy documentation, audit logs.
- Ops automation: integration platforms (Zapier/Make/n8n-style), internal dashboards, API-driven workflows.
- Finance ops: invoicing and subscription billing systems, document management, approvals, reporting.
- Legal ops: contract lifecycle management, templates, e-signature tooling.
- Business services: APIs and webhooks around billing/invoicing, staged rollouts, sandbox environments.

Compensation & perks
We try to be explicit and realistic.
- Compensation philosophy: We’re bootstrapped. We may not match top-of-market packages at larger/VC-backed companies; our goal is fair compensation and continuous improvement over time.
- Contract & classification: Employment contract aligned with the applicable CCNL (level defined in the offer).
- Salary: Base annual gross salary (RAL) depends on experience and scope; we will share a range early.
